Setting up a new printing device for the first time involves more than just turning it on and connecting it to a network. Proper initial configuration ensures that the machine performs reliably from the very first print.
This checklist walks you through every stage of the process, from removing the device from its box to printing your first alignment test page. Follow each step in order for the smoothest experience.
Estimated time: 20 to 40 minutes, depending on the complexity of your device and your familiarity with the steps.
Phase 1 — Unboxing and Physical Setup
Step 1: Remove All Packaging
Carefully remove the printing device from its box. Look for and remove all protective materials, including:
- Tape strips on exterior panels and doors
- Styrofoam blocks and padding from inside the device
- Plastic film covering the display screen or control panel
- Cardboard inserts inside the paper tray or output area
- Any shipping locks or brackets (often bright orange or blue plastic pieces)
Open every door and panel on the device to check for hidden packaging. Manufacturers place protective materials in various locations to prevent movement during shipping.
Step 2: Choose the Right Location
Place the printing device on a flat, stable, and level surface. Consider the following when choosing a location:
- Adequate ventilation: Leave at least 15 to 20 centimeters (6 to 8 inches) of clearance on all sides, especially the rear, to allow proper airflow
- Proximity to power: Ensure the power cord can reach an outlet without stretching or running across walkways
- Wireless signal: If you plan to connect wirelessly, place the device within range of your wireless router
- Stability: Avoid placing the device on wobbly tables, shelves near the edge, or surfaces that vibrate
- Avoid direct sunlight: Prolonged exposure to direct sunlight can affect plastic components and display screens over time
Step 3: Connect the Power Cord
Plug the power cord into the back of the printing device and then into a wall outlet. Avoid using extension cords or power strips for initial setup, as a direct wall connection provides the most stable power supply.
Do not turn the device on yet. Complete the physical setup steps first.
Phase 2 — Paper and Consumable Installation
Step 4: Load Standard Paper
Open the paper tray and load a stack of standard blank paper. Follow these general guidelines:
- Use clean, dry, and unwrinkled paper
- Check that the paper size matches the tray settings (common sizes are Letter, A4, or Legal)
- Align the edges of the paper stack by tapping it on a flat surface before loading
- Adjust the paper guides in the tray so they rest gently against the edges of the paper without bending or curling it
- Do not overfill the tray. Most trays hold between 100 and 250 sheets depending on the model
Important: Loading paper correctly prevents most common paper jam issues. Take a moment to ensure the stack is neat and the guides are snug but not tight.
Step 5: Install the Consumable Cartridges
Most new printing devices ship with a set of starter cartridges. To install them:
- Open the cartridge access door (usually on the front of the device)
- Wait for the cartridge carriage to move to the center or accessible position
- Remove each cartridge from its packaging, being careful not to touch the copper contacts or the ink nozzles on the bottom
- Peel off any protective tape or seals from the cartridge
- Insert each cartridge into its correct slot. Most devices have color-coded slots or icons indicating which cartridge goes where
- Press each cartridge firmly until it clicks into place
- Close the cartridge access door
The device may take a minute to recognize the newly installed cartridges. You may hear mechanical sounds as the device primes the ink system. This is normal and expected.
Step 6: Attach Any Included Accessories
Check the box for any additional components such as:
- Output tray extensions
- Document feeders or scanners lids
- USB cables (for initial wired setup if needed)
- Setup guides or quick-start reference cards
Attach these accessories according to the instructions in the included quick-start guide.
Phase 3 — Power On and Initial Configuration
Step 7: Turn On the Device
Press the power button and wait for the device to complete its startup sequence. This may take 30 to 90 seconds. During this time, the device will:
- Run internal diagnostics
- Initialize the cartridge system
- Calibrate internal sensors
- Display a ready indicator or message
Do not interrupt the startup process. Wait for the device to signal that it is ready before proceeding.
Step 8: Set Language and Basic Preferences
If your device has a display screen, you may be prompted to select a language, region, or time zone. Use the on-screen menu or control panel buttons to make your selections and confirm.
Step 9: Connect to Your Network

If you prefer a temporary wired connection, use the included USB cable to connect the device directly to your computer.
Phase 4 — Alignment and First Print
Step 10: Run the Alignment Process
Most printing devices require an alignment process after initial cartridge installation. This ensures that the print heads are properly calibrated for sharp, accurate output.
- The device may automatically begin alignment after startup. If so, follow the on-screen instructions
- If not, navigate to the device's maintenance or tools menu and select "Align Print Heads" or a similar option
- The device will print a small alignment page with patterns or lines
- Some devices require you to scan this page to complete the calibration. Others complete it automatically
Note: Do not skip the alignment step. Skipping it can result in blurry text, misaligned colors, and poor overall print quality.
Step 11: Print a Test Page
After alignment is complete, print a test page to verify that everything is working correctly. You can do this from the device's own menu (usually under "Print Report," "Self-Test," or "Print Configuration") or from your computer.
Inspect the test page for:
- Clean, sharp text with no smudging
- Straight, properly aligned lines
- Even color distribution (if using color cartridges)
- No blank streaks or missing sections
Step 12: Add the Device to Your Computer
If you have not already done so, add the printing device to your computer through the standard settings panel:
- Open Settings or Control Panel on your computer
- Navigate to Devices or Printers & Scanners
- Select Add a printer or device
- Choose your printing device from the discovered list
- Follow the prompts to complete the installation
Once added, your computer is ready to send print jobs to the device.
