HP Printer Offline

Your HP printer appears offline in Windows even though it's powered on and connected. This is one of the most common HP printer issues. Here's how to diagnose and fix it for good.

Why Does Windows Show My Printer as Offline?

  • "Use Printer Offline" mode is enabled — Windows has a setting that forces the printer offline
  • Print Spooler service is stuck — the Windows service that manages print jobs has frozen
  • Network connection issue — the printer and computer aren't communicating properly
  • Outdated or corrupted driver — the driver has become corrupted or is incompatible
  • IP address conflict — the printer's IP address changed but Windows is still using the old one

Fix 1: Disable "Use Printer Offline" Mode

Step 1: Press Windows + R, type control printers, and press Enter.
Step 2: Right-click your HP printer and see if "Use Printer Offline" has a checkmark next to it.
Step 3: If it does, click it to uncheck it. Wait a few seconds and try printing.

Fix 2: Restart the Print Spooler Service

Step 1: Press Windows + R, type services.msc, and press Enter.
Step 2: Scroll down to "Print Spooler" in the list.
Step 3: Right-click it and select Restart. Wait for the service to restart.
Step 4: Try printing again.

Fix 3: Clear the Print Queue

If there are stuck print jobs in the queue, they can prevent new jobs from processing and cause the offline status.

  1. Open Services (services.msc) and stop the Print Spooler service.
  2. Open File Explorer and navigate to C:\Windows\System32\spool\PRINTERS.
  3. Delete all files in this folder (you may need administrator permission).
  4. Restart the Print Spooler service.

Fix 4: Remove and Re-add the Printer

  1. Go to Settings → Bluetooth & devices → Printers & scanners.
  2. Click on your HP printer and select Remove.
  3. Click "Add device" and let Windows detect and reinstall the printer.
  4. Try printing a test page.

Fix 5: Update or Reinstall the Driver

  1. Go to Device Manager (right-click Start → Device Manager).
  2. Expand "Print queues" and find your HP printer.
  3. Right-click it and select "Update driver". Choose automatic search.
  4. If updating doesn't help, right-click and select "Uninstall device", then restart your computer and let Windows reinstall it.

Fix 6: Assign a Static IP Address (Network Printers)

If your printer connects via Wi-Fi, the IP address may change after router restarts, causing the offline error.

  1. Print a network configuration page from your printer's control panel.
  2. Note the current IP address.
  3. Log into your router's admin panel and assign a static IP to your printer's MAC address.
  4. In Windows Printer Properties, update the port to use the new static IP.
Prevention tip: To avoid this issue in the future, make sure both your computer and printer are connected to the same network, and avoid switching between Wi-Fi and USB connections frequently.
